Sales and Customer Service Assistant

Duties and Responsibilities:

Sales

  • Be familiar with Hoffman Nursery, Inc. products, their specifications, and uses
  • Be familiar with Hoffman Nursery customer types and their respective requirements
  • Know how to use availability lists and product information sheets
  • Assist in preparation of customer quotes, orders, and invoices
  • Help coordinate customer pickups as necessary
  • Stay current with the Hoffman Nursery, Inc. website and marketing materials, and use them to help customers and promote Hoffman Nursery as the expert in ornamental and native grasses

Customer Service

  • Engage customers during phone calls to solve sales and customer service issues
  • Send plant availability lists, catalogs, credit applications and other documents to customers
  • Communicate with customers about orders, acknowledgements, shipments and credit applications
  • Coordinate with appropriate departments to schedule customer shipments, determine shipping status and be aware of plant issues
  • Place courtesy calls to confirm upcoming shipments and receipt of plants in good condition

Other Responsibilities

  • Follow plans to perform daily operations of Sales Team, including order processing, sales calls, customer service issues, and documentation of sales activities
  • Be prepared for and attend daily Sales Team meetings to report on daily priorities and update management
  • Attend weekly Sales & Marketing meetings to report on work progress and to stay informed
  • Know and follow Sales Team protocols and be familiar with the electronic Hoffman Nursery, Inc. Sales and Customer Service Handbook
  • Learn item codes and be proficient in using Results CRM, QuickBooks, Outlook and CompuPlants® software
  • Maintain accurate customer database in Results using current protocol
  • Know how to use phone system and take messages or direct calls to appropriate personnel using proper phone etiquette
  • Assist with office organization, electronically file paperwork associated with orders, business cards, etc. 
  • Promote a quality image of Hoffman Nursery by using proper language in written and oral communications with team members and customers
  • Use diplomacy, tact and good judgment to strive for individual as well as team success 
  • Maintain a professional appearance and demeanor
  • Maintain a pleasant working environment by communicating respectfully with other Hoffman Nursery, Inc. team members and customers
  • Be in alignment with Hoffman Nursery’s core values
  • Other duties as directed or assigned

Qualifications:

  • Associate’s or bachelor’s degree with 1-2 years of experience in customer service or business setting; 
  • Strong organizational skills;
  • Efficient under varying workloads; 
  • Demonstrated initiative and self-direction; 
  • Demonstrated team and collaboration skills; 
  • Excellent interpersonal and communication skills; 
  • Strong attention to detail; 
  • Familiarity with computers and proficiency in Microsoft Word, Excel and Outlook; 
  • Ability to learn new software; 
  • Knowledge of or high level of interest in horticulture or related field desirable, but not required.
